Personal data question type

Entering personal details quickly and efficiently

When entering a property, it is sometimes necessary to identify one or more people present and record their personal details.

Previously, this was done by typing information into an open text field. The new "personal data" question type allows this to be done in a structured and more efficient way.

This question type also supports automatic data extraction from an ID document. Simply select "Take photo" on the question, then photograph both the front and back of the ID. The fields will then be filled in automatically. This is particularly useful for foreign passports and ID documents - the tool recognises all foreign passports, EU ID cards and driving licences, and Dutch residence permits. The tool is fully privacy-compliant and the photo of the ID document is deleted after processing.

When setting up a questionnaire, you can choose which fields are shown. You can also choose between fields that are filled automatically by the AI tool and fields with custom names. See the screenshot from the admin environment below:

The "Select AI-recognised fields" option shows an overview of all data fields that can be extracted:

Using the personal data question type

Once the question type is active, adding personal details to a question is quick and straightforward.

Start by entering a name - this can be a general label such as "Person 1". You can then either enter the personal details manually or photograph the ID document to extract the data automatically. Select "Take photo" to do so.

When photographing an ID document, follow these guidelines to help the tool read the data accurately:

  • Make sure the photo is sharp and not taken too close to the document.

  • Photograph both the front and back of the ID, and make sure both photos are taken in the same orientation - do not photograph the back upside down or rotated.

If the tool has difficulty reading the data, a warning will appear in red next to the relevant field. Always verify the automatically filled details before proceeding.
