Professional letters and reports directly in Report X

Many organizations still spend a significant amount of time manually preparing letters, summaries, decisions, or standardized reports after an investigation has been completed. Often this means copying information from one system into Word templates, adjusting texts manually, and checking whether all required information has been included correctly.

With the new Letter and Report Template questionnaire types, you can create questionnaires in the form of a report - ideal for investigations that require more textual explanation or formal communication. Instead of a standard questionnaire with separate fields, you can create a continuous text that is automatically populated with information from answers collected during investigations.

This is a major step toward efficiency and consistency: letters or fixed report formats no longer need to be created manually outside the system. Administrators can create a standard letter once, which can then be used by reporters.

Because the document structure is predefined, teams work more consistently and reduce the risk of missing information. Instead of preparing documents manually after each investigation, teams can work from one integrated workflow - from investigation to final report.

How does it work?

The questionnaire remains the core building block of Report X. When creating a questionnaire, administrators can now choose between multiple questionnaire types depending on the desired workflow and output.

  • 'Normal' questionnaire
    Used for standard investigations and flexible reporting workflows.
    Contains regular sections for each group of questions and is generated in a format of question and answer.

  • 'Letter' & 'Template' (Report) questionnaire
    Designed for creating structured letters and reports directly within the application.
    Administrators define fixed body text and place dynamic answer fields within the text. During the investigation, reporters fill in the required answers and the system automatically generates the final report.
    Difference between Letter and Template is only with report titles and headers.

In practice, the workflow is simple:

  1. Administrators create a questionnaire structure with predefined text and dynamic fields

  2. Reporters complete investigations as usual

  3. Answers are automatically inserted into the predefined document structure

  4. The final output is generated directly inside the application

  5. Reports can then be exported as professional PDF documents

This approach significantly reduces repetitive work and helps organizations create consistent, professional communication with less manual effort.

🧭 Read the instructions

  1. Start from the questionnaire list:​

  2. Click the blue “Create Questionnaire” button.
    Enter basic information for the questionnaire, such as the name and report title. You can choose from the following questionnaire types: Normal, Letter, and Template (Report).

  3. Click the blue “Edit Questionnaire” button.
    Now you can add your section as usual. Click “Add Section” and enter the name.

  4. Now start with the content of your letter. You can copy and paste the text and then edit it using the toolbar in text editor.

  5. The most important step is to formulate good questions so that the reporter can fill out the form efficiently.

    Create questions (steps) using question types such as text, multiple choice, date, etc.

    We recommend giving the questions an informative title.
