With automatic transcription and reporting, Report X offers a new way to capture conversations and turn them into reports. Instead of dividing their attention between having a conversation and taking notes, reporter can focus fully on the person they are speaking with.
Report X automatically transcribes the conversation and uses AI to turn the transcript into a structured draft report. The reporter remains in control throughout the entire process: from the recording and transcript to the information that is ultimately included in the report.
Who is this feature for?
Automatic transcription and reporting is intended for organizations where reports are based on conversations, interviews, or visits. The feature is particularly valuable when reporters would normally need to take extensive notes during these conversations.
Instead of continuously recording information manually during the conversation, reporters can have a natural conversation while Report X captures and structures the information in the background.
This can help organizations:
Reduce administrative work by automatically converting spoken conversations into written text.
Capture more information by allowing reporters to focus on the conversation instead of constantly taking notes.
Improve reporting consistency by transforming the conversation into a structured report.
Maintain control and transparency because the reporter can review and correct the transcript before a report is generated.
Make reporting easier for non-technical users through a simple workflow that keeps the conversation, questions and transcription clearly visible.
The feature is therefore particularly suitable for organizations where both the quality of the conversation and the quality of the final report are important. AI supports the capture and structuring of information. The reporter always determines what is ultimately included in the report.
How to use it?
The feature is first configured by the Company Administrator. Reporter can then use it as part of their normal investigation process.
For Company Administrators
When creating a new questionnaire, the Company Administrator can select AI Questionnaire as the questionnaire type. The administrator configures the consent section, defines the initial consent questions and adds the sections and mandatory questions that should guide the conversation.
The administrator can also review and adjust the AI reporting prompt through "AI settings" button, which determines how the conversation is transformed into the final report.
Once the questionnaire is configured and saved, it can be used for investigations in the same way as other questionnaire types.
For Reporters
When an advisor starts a conversation with automatic transcription and reporting, the focus is on the conversation rather than just completing a questionnaire.
The reporter first completes the required consent and approval questions. Recording cannot start until all mandatory consent questions have been completed.
The reporter then starts the conversation using the clear Start recording button. The conversation is transcribed live, while the reporter can see the relevant questions alongside the transcript. Mandatory questions are clearly highlighted, helping the reporter keep track of the topics that need to be covered.
During the conversation, the reporter remains in control and can pause, resume or stop the recording. Questions can be checked off as they are addressed.
After the conversation, the reporter can review the transcript, make corrections and assign names to the speakers. The reporter can also see which questions have been answered and decide whether information such as a summary or follow-up actions should be included in the report.
Once the transcript has been reviewed, Report X uses AI to generate a structured report draft, including the relevant questionnaire sections, interview information and follow-up actions.
The reporter then validates the generated report by selecting which questions and information should be included before submitting the final report through the existing Report X workflow.
The reporter stays in control throughout the process: AI takes care of transcription and report generation, while the reporter can have natural conversations and decide what information is included in the final report.
