Who is this feature for?
For organizations where consultants/advisors have to make multiple visits per day. Optimal scheduling of these visits saves a lot of time, especially when large numbers are involved. The computer automatically calculates the most efficient route.
Users can now plan their working days in advance based on the list of visits, which can undoubtedly be very long. To provide the best experience, the scheduling uses Google Maps Route Optimization, which automatically finds the best way to visit multiple locations efficiently.
How to use it?
Before reporters can schedule their work, the Company Administrator defines several global parameters for their organization. These settings determine how the scheduling logic behaves. For example, it is mandatory to predefine "Average investigation duration (minutes)" and it is a setting that Reporter cannot change himself.
Reporters can access the scheduling feature via a new “Scheduling” tab in the application (if activated by Montr). The screen presents a calendar-like view covering a rolling two-week window that starts from today. Days are color-coded to indicate scheduling status with two options:
Option 1: Red – Not Scheduled: The reporter can plan their day by clicking “Plan my day”, for dates where there is no route scheduled. A separate modal window will then open in which availability can be specified.
Option 2: Green – Scheduled: The reporter can see the list of scheduled points with investigation name and start time, and also preview details of that day’s route by clicking on.
Note: Days before today are not accessible (no historical overview).
When the reporter clicks “Plan my day”, a separate modal window opens where she/he can provide availability details.
Starting Location and End Location — defined by reporter and/or prefilled with default company values from the CMS settings provided by company administrators
Availability (Start / End time) — defined by reporter and/or prefilled with default company values from the CMS settings provided by company administrators
Break (minutes and time) — If a day is split into separate work periods, reporters can use a “Break” function to indicate gaps in their availability.
Once clicked "Schedule" the system automatically calculates an the best optimal route using the settings picked and available investigations (not finished and not scheduled ones).
Route is optimized according to an average traffic on given day and time.
Reporters can open a Preview screen for any scheduled day, a new page opens with map and list of scheduled investigations.
Map View — Shows the full route and investigation points. Each point can be clicked to preview investigation details (Investigation name and location) and to go to an Investigation's questionnaire to start working.
List View — Displays all scheduled points with scheduled time, locations and investigation names.
Navigate – Opens the default navigation app on the reporter’s device.
Add investigations – Allows the reporter to add new investigations for specific time.
Undo Scheduling – Investigations are again unscheduled.
